Exhibit Logistics for Exhibitors, Exhibit Houses and Event Teams

Exhibit logistics is everything that happens to a booth between shows: crating it, moving it, storing it, and getting it to the next floor on time. Professional Moving Solutions manages those steps for exhibitors, exhibit houses and event teams. We pick up and crate exhibits, route them from show to show, store them in our Richmond, VA warehouse between events, and provide booth installation labor on site. We are an asset-based carrier with our own trucks and crews, available 24/7 at 866-216-7742.

Who we help with exhibit logistics

  • Exhibitors who run a booth at several shows each year
  • Exhibit houses and display fabricators delivering finished builds to clients and venues
  • Event and marketing teams coordinating shipments for roadshows and product launches
  • Museums, galleries and showrooms moving display pieces and fixtures

If you only need a one-way shipment to a single show, our trade show shipping page covers that. This page is for teams that need the whole exhibit lifecycle handled, before, during and after the event.

How exhibit logistics works with us

  1. Send us your show schedule: venues, move-in and move-out dates, and whether you are using the advance warehouse or direct-to-show delivery.
  2. We confirm what is moving, including crates, cases, flooring, signage, kiosks and demo products, and quote the full route.
  3. We pick up the exhibit, crating or protecting it for the trip where needed, and deliver it inside the window your exhibitor manual sets.
  4. Our crew can stay to install the booth, or meet your own installers on site.
  5. After the show we collect the exhibit and send it to the next venue, back to you, or into storage.

What we move

Exhibit logistics covers the full range of booth and display freight. The items below are typical, and we will confirm what you have when you request a quote.

  • Modular booths, pop-up displays and custom-built exhibits
  • Crates, road cases and pallets of collateral and giveaways
  • Signage, banners, graphics and lighting
  • Kiosks, counters, display cases and showroom fixtures
  • Demo products and equipment that need careful handling
  • Flooring, carpet and booth furniture

Packing and crating your exhibit for transit

Exhibits are built to be seen, which also makes them easy to scratch and crack. Our crews blanket-wrap, crate or palletize each piece to suit what it is and how far it is going, and custom crating is available for exhibits that need more than a blanket. Every item is checked at pickup and delivery so the record matches what left your shop or booth.

A few habits from the shop floor make any exhibit travel better, whether you pack it yourself or hand it to us:

  • Use rigid crates or road cases for graphics, screens and anything with a finished surface
  • Keep freight inside the footprint of the pallet, with nothing hanging over the edge
  • Strap and wrap pallets so the load cannot shift, and put heavy items at the bottom
  • Label every crate with the show name, your booth number, a contact number and the piece count, for example 1 of 6
  • Pack a loose-parts list inside each crate, and photograph the crates before they leave
  • Keep cables, remotes and hardware in marked bags so setup does not stall

We also pick up exhibits that are already crated and palletized. Tell us which you have when you request a quote, and we will confirm blanket-wrap, crated or palletized transport.

Show-to-show routing

When an exhibit has several shows in a row, the schedule matters more than any single trip. We plan multi-stop routing so the booth moves from one venue to the next without returning to your facility in between. Send the full show calendar when you request a quote, and we will build the route around each move-out and move-in window.

Return freight after the show

Return freight is the step most exhibitors plan last and the one most likely to run late. Move-out is crowded, and a truck booked at the last minute can wait a long time. Plan the return before you leave for the show.

  • Tell us where the exhibit goes after the show: your shop, our Richmond, VA warehouse or your next venue
  • Send the move-out time and any outbound paperwork the show requires
  • Make sure crates are relabeled with the new destination before pickup
  • Photograph the exhibit at pickup, so any damage is easy to document
  • Send us a count of pieces, so we can check it against what was delivered

Not sure whether to ship early to the advance warehouse or deliver direct to the show? Our guide to advance warehouse vs direct-to-show delivery walks through the choice.

Exhibit storage between shows

Between events, your exhibit does not need to take up space in your office or shop. We hold exhibits in our secure Richmond, VA warehouse, from a single pallet to 100 pallets, and ship them out when the next show is booked. Tell us how long you need storage when you request a quote.

Booth installation labor and coverage

We provide booth installation labor, so the crew that delivers your exhibit can set it up on site, or we schedule delivery to meet your own installers. Crews based in Richmond, VA and Edison, NJ cover shows across the Mid-Atlantic and Northeast, and we deliver nationwide.

Frequently asked questions

What is exhibit logistics?

Exhibit logistics is the planning and transportation of a booth or display across its full lifecycle: pickup, crating, delivery to the show, installation labor, post-show pickup, storage and routing to the next event.

How is exhibit logistics different from trade show shipping?

Trade show shipping is the transportation of an exhibit to and from a show. Exhibit logistics also includes storage between events, routing from show to show and installation labor. Many customers start with a single shipment and add the rest as their show schedule grows.

Can you store our exhibit between shows?

Yes. We store exhibits in our secure Richmond, VA warehouse, from 1 to 100 pallets, and ship them to the next show when you are ready.

What do you need to quote exhibit logistics?

The show names, venues and move-in and move-out dates, your pickup and delivery ZIP codes, and what is shipping: crate count, dimensions, weight and photos if you have them. Tell us whether you need storage or installation labor too.

Do you handle exhibits outside Virginia and New Jersey?

Yes. Our crews are based in Richmond, VA and Edison, NJ, and we ship exhibits nationwide on our own trucks.
